Accounts Payable Integration for Dennis Eagle

As well as being a partner with Medius we have been supporting Dennis Eagle for many years with their ERP system which is Avante running on UniData (a Rocket MultiValue database), when Dennis Eagle wanted to utilise Medius AP Automation to digitise their Accounts Payable processes we were happy to help, creating a bespoke integration tailored to suit their specific needs.

Accounts Payable Integration for Dennis Eagle (Medius AP Automation with Avante ERP)
Dennis Eagle are a world leader in the design and manufacture of waste collection vehicles and have been established since 1907.
We produce over a thousand vehicles per year, which is roughly about 80% of the UK market.
But one of the things that makes us unique is the full service that Dennis Eagle offer. So right from the start of ordering a vehicle right to the end of the vehicle's life, Dennis Eagle offer a best in class service.
So aftermarket team, once a vehicle's been delivered to ensure that the vehicle is maintained correctly and is on the road to collecting all the waste that it's supposed to be doing.
I joined Dennis Eagle 12 years ago and I am currently the planning and data science manager.
So I've been involved in a couple of projects. The first one I was the project manager for the Medius implementation.
The Medius software enables us to manage our invoice processing much more smoothly than we had before.
It basically automated the process. It gave us an online platform for the distribution of invoices.
Prior to having Medius, we had virtually no visibility for our invoices. It was all done very manually.
So we would have paper invoices, if things came in on email, we would have to print all of those emails off. Then they would have to be split into categories. And then they would have to be put into the system.
We would upload the invoices so we have a digital record. And again all that information was put in manually. But we still have to distribute the invoices to people for approval. So there would be lots of paper floating around in the business.
So this invoice has a quantity query. It's basically saying that the invoice line is eight and it's only connected to quantity of seven. So what I would do is I would go back into the Avante system. Under that purchase order reference. And search for the part number that's shown on the invoice. And then I'm looking for the delivery note that stated on the invoice on Avante
The solution we chose was Medius AP Automation. And Web Control helped with all the integrations. All of our, uploading of our information from Avante.
So we were able to automate a lot of the processes. We could email invoices without having to print them first into the system.
It's an AI, so it learns information. The verification process is a lot quicker. So it's more of a check because it learns where things are within the invoice. Over 50% of our purchase orders, auto match. So it has a auto match function. And then that is uploaded straight into a Avante.
Without anyone touching that. So we've got a lot of our invoices now flowing through a system without anybody touching them.
I was a project manager. So my involvement was to specify the requirements pull together a team. And we very quickly realised that we needed integration between our ERP system and the new Medius software. For that, we chose Web Control mainly because of their experience around the ERP solution that we're already been running.
I think the main challenges were on a technical basis. So it's obviously one technical integration or one technical system to another one.
We found that the Web Control technical guys were able to decipher the information that was provided by Medius, and turn it into an API. That seamlessly transferred the data.
Web Control have been great. They're really easy to work with. They're always on hand for us. They come up with solutions that I wouldn't have thought of, and probably our I.T. wouldn't have thought of in a lot of cases.
They are are very clever people.
